Pricing Tier Policies
1. Overview
This policy covers how pricing, billing, and user limits work in Adcyma. It applies to all customers on free, monthly, and annual plans.
2. Pricing Structure
2.1 Per-User Pricing
Adcyma charges per managed user, per month. The base module (Identity Lifecycle Management) is included in every paid plan. Additional modules like Identity Governance and Administration (IGA) and the HR Connector can be added separately.
Annual billing offers a discount compared to monthly billing. Exact pricing is listed on our pricing page.
2.2 Free Tier
All new customers start on a free plan with a fixed limit of 25 seats and full access to the ILM module. No credit card is required. The free tier does not support add-on modules. If you need more than 25 seats or want to add modules like IGA, you will need to upgrade to a paid plan.
2.3 Minimum Seats
All plans, including paid plans, have a minimum of 25 seats.
3. User Limits and Overages
3.1 Seat Modes
Paid plans support two seat modes:
- Manual mode: You set a fixed user limit. If you approach that limit, we notify you so you can adjust it.
- Automatic mode: Your seat count adjusts automatically as you add or remove managed users. Billing is settled once per month based on your current user count at that time.
3.2 Notifications
We send notifications as you approach your user limit:
- Free tier: Warnings at 80%, 90%, and 95% of your limit
- Paid tier: Warnings at 85% and 95% of your limit
Notifications are sent via in-app banners and email, depending on urgency.
4. Plan Changes
4.1 Increasing Seats or Adding Modules
When you increase your seat count or add a module, the change takes effect immediately. You are charged a prorated amount for the remainder of your current billing period.
4.2 Decreasing Seats or Removing Modules
Decreases and removals are scheduled for the start of your next billing period. No credits or refunds are issued for the current period.
4.3 Payment Processing
All payments are processed through Stripe. In some cases, we may offer invoicing as an alternative payment method by agreement. We may change payment provider in the future if needed. If that happens, we will notify you in advance.
4.4 Disputes
If you believe a charge or user count is incorrect, contact us within 30 days at [email protected].
5. Taxes and VAT
5.1 General
All prices listed on our website and invoices are exclusive of VAT and other applicable taxes. The tax treatment depends on where you are located and whether you have a valid VAT identification number.
5.2 Swedish Customers
If you are based in Sweden, we charge 25% Swedish VAT (moms) on all invoices, regardless of whether you are a business or a private individual.
5.3 EU Customers (Outside Sweden)
If you are a business in another EU country and provide a valid VAT identification number, the reverse charge mechanism applies. This means:
- We invoice you at 0% VAT
- The invoice will carry the note “Reverse charge”
- You are responsible for reporting and paying the VAT in your own country through your local VAT return
If you do not provide a valid VAT number, or if your VAT number cannot be verified, we are required to charge VAT at the applicable rate.
5.4 Non-EU Customers
If you are located outside the European Union, no VAT is charged. Your invoices will show 0% VAT. You may still be subject to local taxes in your country, which is your responsibility.
5.5 VAT Number Validation
We validate EU VAT identification numbers through the official VIES system. It is your responsibility to provide and keep your VAT number up to date in your account settings. If your VAT number becomes invalid, we will begin charging VAT on subsequent invoices.
